ACCOUNTS PAYABLE ASSISTANT

Description

The Accounts Payable Assistant is a full-time support member reporting directly to the Finance Manager and indirectly to the Director of Business and Finance.

 

Responsibilities

  • Accounts Payable: 

  • Post all invoices for all campuses as they arrive.

  • Research validity and verify approval on all purchases.

  • Prepare AP invoice proof list report prior to check printing. 

  • Print out AP checks.

  • File all AP invoices.

  • Backup for Weekly Amex reports and collection.

 

  • Payroll: 

  • Review hours posted in TimeClock Plus system.

  • Notify supervisors of overtime, unapproved hours & time-off requests. 

  • Process hourly payroll.
     

  • Benefits:

  • Reconcile and pay insurance invoices.

  • Add and delete employees from insurance as needed.

  • Update employee information as needed.

 

  • HR Assistance:   

  • Prepare new hire file when a new employee begins the hiring process.

  • Print all new hire paperwork sent by the HR Consultant for the files.

  • Meet with the new hire and finish filling out all the employment paperwork needed. 

 

  • Security Access:

  • Create and provide Security Access Badges to the Palmetto Bay Campus to staff and volunteers. 

  • Update and maintain Security Alarm Access to the Palmetto Bay Campus.

 

  • Benevolence: 

  • Follow and document the benevolence team response to requests.

  • Post data and scan documents to attach with Personal Profile.

  • Make all requests for payments.

 

  • Cash Management:

    • Assist on Monday mornings processing contributions.

 

Minimum Requirements:

  • 1-3 years accounts payable experience

  • Knowledge of general accounting principles, regulatory standards and compliance requirements

  • General math skills

  • PC proficiency (Word/Excel), including the ability to operate computerized accounting and spreadsheet programs

  • Highest degree of accuracy, thoroughness, attention to detail and confidentiality 

  • Excellent data entry skills

  • Excellent analytical, problem-solving and decision making skills

  • Effective verbal, listening and written communication skills

  • Effective organizational, stress and time management skills

  • Demonstrates a sense of urgency and ability to meet deadlines

  • Ability to work independently and as a team member
